The paperless office was once touted as the marvel of the future. However, with increased computing power and the ease in which to email and print documents actual paper production actually doubled from 1980 to 2000.

If, like me, you want to digitise your office and are sick of paper documents, photos, plans, microfiche and so on you can use the Adobe PDF generation products. However it is not easy to alter or annotate those documents.

Here steps in PDF Annotator.

A software PDF Annotator lets the user open any PDF file and add annotations, using the mouse or a Tablet PC pen, directly on the PDF file's pages. The annotated documents can then be saved directly back to PDF format. In this way, anyone can read or print the annotated PDF documents. Annotated documents can also be easily attached to emails.</p> <p>Previously, annotating, commenting or proofreading a document received for review in PDF file format was possible only by using multiple software products in a row--or only by printing the document and adding comments manually. People are often amazed at how quickly I can turn around contracts, documents, agreements and other documents that are sent to via a PDF format. One of my secret software tools is a brilliant piece of software called PDF Annotator by German software producer GRAHL Software.

Designed specifically for Tablet PC’s, this application takes a standard PDF document and lets you digitally write and annotate it. You can write comments, mark corrections, apply your signature, highlight certain areas.

Many options available: different colour inks, pen thicknesses, colour highlighters and a “typewriter” mode where it is easier to use traditional type.

For one of the MBA courses I taught in Singapore, I asked all students to submit their course papers to me via PDF. I used PDF Annotator to make all comments, remarks and, of course, their final grade!

Once you have made your changes, save the PDF file and you can then send that file as a regular PDF via email and the receiver will not know how you have made your changes.

For some the price might be daunting but it is worth the money. I purchased the original version 1.5x series and there has been a recent, major upgrade to version 2.0x which offers even more features.

We would like to see future versions to be available for Macintosh.

This application is a great example of how software and technology can make users lives easier and more efficient; it’s reliable, does the job intended and is an essential tool for the “paperless” office user. M
